We’ve migrated dozens of Phoenix businesses to cloud productivity platforms. The question we get most often: “Should we go with Microsoft 365 or Google Workspace?” The honest answer depends on your business — but here’s our practical framework.
Microsoft 365: Who It's Best For
Microsoft 365 wins for businesses that are already deeply embedded in the Microsoft ecosystem, use heavy desktop applications (Excel’s advanced features still outperform Google Sheets), need enterprise compliance tools (eDiscovery, Advanced Threat Protection, Purview), or operate in industries where Microsoft integrations are standard — healthcare (Epic, Cerner), legal (Thomson Reuters), and construction (Procore, Bluebeam).
Google Workspace: Who It's Best For
Google Workspace excels for businesses prioritizing real-time collaboration, teams that primarily work in a browser, companies with a younger, tech-native workforce, and organizations where file storage simplicity and search are paramount. Google’s AI features (Gemini integration) are increasingly compelling for pure productivity use cases.
The Cost Comparison
Microsoft 365 Business Premium (the most common choice for our clients) runs $22/user/month. Google Workspace Business Plus runs $18/user/month. For a 25-person team, that’s a $1,200/year difference — meaningful, but not the primary decision factor. Consider the cost of switching platforms if you get it wrong the first time.
Security and Compliance
For HIPAA-regulated practices, both platforms can be made compliant — but Microsoft 365’s Business Associate Agreement and compliance tools are more mature and more commonly accepted by healthcare regulators. For legal firms, Microsoft’s eDiscovery tools and legal hold capabilities are superior.
Our Recommendation for Phoenix SMBs
For most of our healthcare, legal, and financial clients: Microsoft 365 Business Premium. For tech-forward, collaboration-heavy businesses with younger workforces: Google Workspace Business Standard. When in doubt: pick the platform your key software vendors integrate with best.
